🕵️♀️ If you'd like, you can reserve a desk for a guest. This guest can be external (e.g. a partner, an outside consultant, a visitor) or a teammate who doesn't have access to your area. This feature is very useful for teammates who need to access areas only a few times each month or year. You don't have to give them access to the area. Simply ask someone to invite them as a guest. |
ℹ️ Information:
Guests (externals or teammates) can use the free version of Waldo.
However, the one who invites them must have the complete version of Waldo.
1 - Activate the guest feature at the organization level
- Go to https://admin.hellowaldo.app
- Authenticate using your Microsoft 365 account.
- Navigate to Global Settings → Features activation and consent
- Enable the Guests feature and click Consent scopes
2 - Activate the guest feature at the user level
- Go to the Users page and select the user who can invite guests.
- In the user’s profile, enable the Guest reservation toggle.
ℹ️ Information:
To apply guest feature to many users, select their names and use the bulk update feature.
After that, select the action "Set guest reservation", choose "Yes", and click Update.

3 - How to invite a guest
- Open your Waldo app.
- Click the + icon next to your name.
- Enter the guest’s name or email.
- Select the date and area for the booking.
- If it’s an internal guest, Waldo will update their calendar automatically.
4 - Emails and notifications: What users will receive
The guest will receive an email invite, and the host will be copied.
If the guest is internal, they will also receive a Microsoft Teams notification, even if they don't use Waldo.
All notifications are automatically translated into the user's Microsoft Teams language.
ℹ️ Information:
If you invite your teammates as guests, the reservation process will follow
the host's settings rather than the guests'. This ensures that guests can be
seated near the host, provided they are also in the same area.
