Waldo interprets the meeting titles in Outlook to automatically make the necessary changes in your Waldo calendar. |
1 - How does it work?
When you set an event in your Outlook agenda, Waldo attempts to understand what it means and will then automatically make the necessary changes in your Waldo calendar.
For example, if you create an event in Outlook with the title "at the beach," Waldo will interpret that to mean you are on vacation. With that information, Waldo will automatically update your Waldo calendar.

The outlook icon indicates that the update comes from your Outlook calendar.
This works with the Waldo statuses Traveling, Bank holidays, and Time Off. It doesn't work with custom locations you created.
When you're not traveling, or working remotely or on time off, Waldo will use your defaul location, from your week pattern. You cannot have an empty location in Waldo. By default, you're supposed to be somewhere :).
To make it work, set the event as all-day or with a duration of at least 3 hours, and mark it as Free, Working Elsewhere, or Away in your Outlook.
2 - Exceptions
The following events are NOT taken into consideration:
- Events with the status Busy, Tentative, or Private.
- Events with the status Free and with a duration of less than 3 hours.
- Events with the status Free and where you're not the organizer.
- Recurring events.
Waldo will try to match your Outlook events with the Waldo statuses Traveling, Remote, and Time Off. It doesn't work with custom locations you created.
If you set the event for half a day (e.g., from 8am to 12pm), Waldo will consider the event as a full-day event. For example, if you create an event such as "I'm at the beach" from 8am to 12pm, Waldo will mark your Waldo calendar as "time off" for the entire day.
3 - Why do we consider events with the status Free?
Waldo considers events marked as 'free' when you are the organizer.
Many HR systems add events to Outlook, which is beneficial. However, they often set these events' status to 'free,' which can be problematic. Therefore, it's important that we also account for events labeled as 'free' in our considerations.
4 - How to increase the probability
- When you set an Outlook event with the status Away, you significantly increase the probability of Waldo considering this event as Time off.
- When you schedule an Outlook event during a bank holiday, you greatly increase the likelihood of Waldo recognizing this as Time off.
- When you set an Outlook event with the status Free or Working elsewhere, you slightly increase the probability of Waldo categorizing this event as Remote or Work trip.
5 - How to activate this feature
5.1 - Consent to the app at the enterprise level.
- Go to the management portal: https://admin.hellowaldo.app
- Authenticate using your Microsoft 365 account.
- Under Global Settings and then Consent, select Synchronize Outlook and Waldo calendars.
5.2 - Activate the feature at the enterprise level.
- Go to the management portal: https://admin.hellowaldo.app
- Authenticate using your Microsoft 365 account.
- Under Global Settings and then Outlook Sync, activate the feature.
5.3 - Activate the feature at the user level.
By default, the Outlook sync is deactivated at the user level.
To enable this feature:
- Go to the Waldo app in your Microsoft Teams, then go to Settings.
- Under Outlook synchronization, activate the feature.
