ℹ️ You can delegate administration to specific users in Waldo.
This delegation follows the hierarchy of your Waldo configuration (organization, office, area, license).
1. Understand permissions
Before assigning a role, make sure you understand who manages what:
| Role | What can they manage? |
|---|---|
| Organization administrator | Full access to the Waldo admin portal. |
| Entity owner | An entity (a group of buildings). |
| Building owner |
Buildings, parking, meeting rooms, areas, desks, parking spot maps, users, reservations, and reports, limited to their assigned building. ⚠️ Cannot create policies (presence/WFH policies, team day policies, or meeting room policies). |
| Area owner | Same permissions as a Building owner, but restricted to their assigned area. |
| License administrator | Licenses. |
| Parking owner | Parking, parking spots, and parking reservations. |
Report administrator can manage reports.
💡 Idea: Delegation helps keep control close to the field, without giving full admin access to everyone.
2. Assign an admin role
To assign a role to a user:
Go to the management portal: 👉 https://admin.hellowaldo.app
Authenticate using your Microsoft 365 account
Navigate to the Users page
From the list, click on the user profile you want to update Scroll down and click Add admin role
Select the appropriate role (administrator, office owner, area owner, or license owner)
That’s it — the role is applied instantly ⚡
3. Access to the management portal
Once permissions are granted:
The user can log in to the Waldo management portal Available features depend strictly on the assigned role Anything outside their scope stays inaccessible
⚠️ This ensures security and prevents unwanted configuration changes.
