🕵️♀️ Waldo interprets the meeting titles in Outlook to automatically make the necessary changes in your Waldo calendar.
How does it work?
When you set an event in your Outlook agenda, Waldo attempts to understand what it means and will then automatically make the necessary changes in your Waldo calendar.
For example, if you create an event in Outlook with the title "at the beach," Waldo will interpret that to mean you are on vacation. With that information, Waldo will automatically update your Waldo calendar.
When Waldo sees this:
Waldo will automatically adjust your Waldo calendar like so:
The Outlook icon indicates that the update comes from your Outlook calendar.
This works with the Waldo statuses:
- Work trip
. - Remote
- Time Off.
It doesn't work with the custom locations you created.
ℹ️ Information: If you’re not traveling, remote, or on time off, Waldo uses your default weekly location. Locations can’t be empty, you’re always set to be somewhere. 🙂.
Events that are considered and those that are not considered.
The following Outlook events are taken into consideration:
- Events with the status Free
- Events with the status Working Elsewhere
- Events with the status Out of office
- Events with the status Private
- Recurring events
The following Outlook events are NOT taken into consideration:
- Events with the status Busy
- Events with the status Tentative
- Events with the status with a duration of less than 3 hours.
- Events with the status Free and where you're not the organizer.
Half-day events
If you set an half-day event (e.g., 8 AM–12 PM), Waldo will treat it as a full-day event. For example, “I’m at the beach” will mark your Waldo calendar as time off all day.
Why do we consider events with the status Free?
Many HR systems add events to Outlook, which is beneficial. However, they often set these events' status to 'free,' which can be problematic. Therefore, it's important that we also account for events labeled as 'free' in our considerations.
Note: Events with the status Free and where you're not the organizer are not taken into consideration.
How to increase the probability
- When you set an Outlook event with the status Out of office, you significantly increase the probability of Waldo considering this event as Time off.
- When you set an Outlook event with the status Free or Working elsewhere, you slightly increase the probability of Waldo categorizing this event as a Remote or Work trip.
How to activate this feature
Consent to the app at the enterprise level.
- Go to the management portal: https://admin.hellowaldo.app.
- Authenticate using your Microsoft 365 account.
- Under Global Settings and then Features Activation and Consent, select Synchronize Outlook and Waldo calendars.

- Authenticate using your Microsoft 365 account.
- Under Global Settings and then Outlook Sync, activate the feature.
Activate the feature at the user level.
By default, the Outlook sync is deactivated at the user level.
To enable this feature:
- Open the Waldo app in your Microsoft Teams, then go to Settings.
- Under Outlook sync, activate the feature.
