If an employee has left the company but still has active reservations in Waldo and an active Microsoft 365 account, administrators can manually remove both current and upcoming bookings directly from the admin portal. This is particularly recommended when preparing to deactivate or remove the user from Azure Active Directory.
Important:
If the user’s Microsoft 365 account has already been deleted, their existing reservations will be automatically removed within 24 hours.

Note
This feature may also be used in cases of temporary absence, including:
- Maternity leave
- Surgical leave
In such situations, clearing reservations ensures that desks or rooms are released and made available to others, while allowing administrators to reconfigure the user’s settings upon their return, if necessary.
There are two ways to do this:
- From the Users page
- From the Reservations page
Option 1 – From the Users page
- Log in to https://admin.hellowaldo.app/users using your waldo admin account.
- Select the relevant user profile and select Clear reservations and settings.
Option 2 – From the Reservations page
- Log in to https://admin.hellowaldo.app/reservations using your admin credentials.
- Navigate to Area and select the relevant user profile and click Clear reservation or Clear reservations....
ℹ️ Information:
💡 "Clear reservation" removes today's booking only. No confirmation needed.
💡 "Clear reservations..." removes all upcoming bookings and resets preferences (confirmation required).
- If asked, confirm the action to finalize the deletion.

💡 Planning to remove users from Active Directory? Delete their Waldo reservations first to avoid lingering bookings in the calendar.
