If someone has left the company but still has active bookings in Waldo and still has an active Microsoft 365 account, here’s how to tidy things up. You can remove both current and upcoming reservations directly from the admin portal — especially handy if you're also removing them from Azure Active Directory.
Note: If the user’s Microsoft 365 account has already been deleted, any reservations they had will also be removed automatically within 24 hours. ℹ️ Learn more in this article: How to manage reservations for former employees
There are two ways to do this:
- From the Users page
- From the Reservations page
Option 1 – From the Users page
- Log in to admin.hellowaldo.app using your admin account.
- Go to Users and select the profile of the person you want to update.
- Click Clear reservations and settings, then hit Save.
⚠️ "Clear reservations and settings" removes all future reservations and user-specific settings (like areas, favourites, or preferences). You’ll need to set these up again if they return.
Option 2 – From the Reservations page
- Log in to admin.hellowaldo.app using your admin credentials.
- Go to the Reservations page and open the relevant area.
- Find the user and click Clear reservation or Clear reservations....
💡 "Clear reservation" removes today's booking only. No confirmation needed. 💡 "Clear reservations..." removes all upcoming bookings and resets preferences (confirmation required).
- If asked, confirm the action to finalize the deletion.
💡 Planning to remove users from Active Directory? Delete their Waldo reservations first to avoid lingering bookings in the calendar.
