You just subscribed to Waldo—welcome! We’ll assist you throughout the entire project. Here are the next steps.


1 - Next steps when the subscription is active.


Once your subscription is active, there are four main steps:


  1. Admin Training Session

    One of our Customer Success Managers will contact you to schedule the admin training session and find a mutually convenient time slot. The session lasts 90 minutes and will be recorded.

    You can find the detailed training program here.

    We'll need the email addresses of the attendees (both required and optional participants). Once this step is completed, you can begin configuring Waldo.

  2. Map Design Submission

    You can submit the design of your maps right away.

    Here's how to request a map design.

    The process usually takes 3 to 5 days. Ideally, the map design will be ready before the admin training session.

  3. Configuration Review and Deployment Plan

    Your Customer Success Manager will schedule a quick call to review your configuration, provide advice and best practices, and discuss the deployment schedule.

    You can already refer to our guide: How to Successfully Deploy Waldo (including tips for asking the right questions).

  4. Optional User Webinar


    Optionally, your Customer Success Manager can organize a short webinar to demonstrate Waldo to your users. This session will also be recorded and typically lasts about 15 minutes. Please note that this is an additional paid service.


2 - Workload and lead time


The configuration of Waldo is very easy and quick. However, what takes time is getting a clear vision of how to organize the areas, who can go where, who has priority, who gets a fixed desk, etc.

These questions will be reviewed during the administrator training, which is part of the complete version of  Waldo.

 

If you have a clear understanding of your business rules, and if your maps are ready to be designed, here is a timeline you can consider:

 

  • It usually takes 1 to 3 weeks to find a mutually convenient time to schedule the admin training.
  • Map design typically takes 3-5 days. You can request the design before the admin training.

  • Once the admin training session is completed, allow one day for the Waldo admin to configure 300 users, to three days to configure more than 1000 users.
  • Ideally, a "dry run" period of one or two weeks is recommended.


For the map design, we need a schema or your office, with the desk’s orientations (to know which side of the desk we can place the chairs). It can be a drawing, as long as the proportions are good.
