π‘ Team policies work better when they're built around your actual team, not just a flat list of names.
With Team day, you can include your full hierarchy, manage individual exceptions, and let Waldo guide you to the right day and location.
π₯ How to create a Team day policy
Go to Policies in your Waldo portal, open the Team day tab, and click + Add a team day. The New team day policy modal opens.
- Enter a name in the Name field
- Under Whose team?, select the user whose team the policy applies to. A preview of affected members appears as a link (e.g. 2 user(s) affected)
- Configure your team scope (see below)
- Set the schedule under When?
- Select a location under Where?
- Click Save
π Choosing who's included
Two toggles control the scope of your team:
- Include sub-teams: OFF by default, only the selected user's direct reports (N-1) are included. Switch it ON to include the full downward hierarchy (N-2, N-3, and beyond).
- Exclude reports working from other buildings: automatically removes collaborators whose primary building differs from the area you've selected. Useful when coordinating presence across multi-site organisations.
A live counter below these options shows how many people are currently included and excluded (e.g. 21 included, 1 excluded).
π Excluding specific members
You can exclude individual collaborators from the list:
- Hover over a name in the member list
- Click Exclude: the member is greyed out and the excluded counter increments
- To reverse it, hover again and click Include
β οΈ Note: All members are displayed in a flat list regardless of their level in the hierarchy.
π Selecting a location
Under Where?, use the Select an area dropdown to choose where the team will be based. Each option shows the area name alongside the number of available desks (e.g. Finanzen, 42 desks).
Once you select an area, Waldo compares its capacity with your current team size and displays one of two messages:
- "This area has sufficient capacity for your current team size."
- "This area does not have sufficient capacity for your current team size."
β οΈ Note: This is informational only. It won't prevent you from saving the policy.
π Setting the schedule
If most of your team already shares a preferred office day, Waldo surfaces it: a blue banner shows "Most of the team are in the office on [Wednesday]." You can follow the recommendation or pick your own day.
Under When?, configure:
- On: the day of the week
- Every: the recurrence interval (week / month / year)
- From: the start date
You can add a second schedule by clicking + Add frequency.
Waldo calculates the first possible occurrence based on your building's booking lead time and displays it directly: "Reservations in this building are created [X] days in advance. Your first team day will be on [Day, Date]."
π‘ Good to know
- The member list updates in real time when you toggle Include sub-teams. No need to refresh.
- The capacity check also updates live as you adjust the team scope or switch areas.
- The first team day date is calculated automatically: Current Date + Building Lead Time + Selected Day of the week.
