In a flexible workplace, syncing up in person isn’t always easy. But with Waldo, you can make it simple. 😌
By default, Waldo uses fair-play rules and priorities to assign desks. But sometimes, you just need the whole crew onsite—no compromises.
Set up a Team Day policy

Log in to the Waldo admin portal and go to Policies.

Click Add team day.

Name your policy (e.g. “IT Team – Thursdays”).

Click Add manager to apply the rule to the manager’s team.

Set the When—e.g. Every Thursday starting April 10.

Choose the Where—e.g. “IT area.”
How does a Team Day policy work?
Waldo gives the team top booking priority on that day—so their desks are locked in before anyone else.
Where will teammates sit?
Waldo will group the team close to the manager’s first favorite desk.
What if the manager isn’t onsite that day?
No problem — Waldo will still group teammates together using the area assignment.
What do users see in the Waldo app?
On a Team Day, users will see a special icon just below the date, plus a calendar message. Their location will default to the office—but they can change it anytime. Waldo never takes control away from the user.

Why doesn’t my new Team Day Policy apply immediately?
When you create a new Team Day policy, it applies right away. However, since Waldo has already processed bookings for the upcoming days, the policy will only apply to the remaining available desks. The policy will fully apply once Waldo starts processing new booking requests.
Example:
Let’s say your building settings are set to “Process reservations up to 10 days in advance,” and today is June 10th.
Your policy will apply only to the remaining available desks between June 10th and June 20th.
On June 11th, Waldo will start processing bookings for June 21st — and the policy will apply to all desks from that date onward.
