In the Waldo Admin Portal, authorized users can export and analyze previous and upcoming bookings via the Users Calendars export.
Before reading this article, make sure you're familiar with these topics:
📥 How to export the data
To download the export, go to the Waldo Admin Portal, then click on Metrics, then Export. Choose Users Calendars from the list. Select your desired time frame and click Export Data.
To analyze upcoming bookings, simply select a future time frame.
🔍 Understanding the data of the Users Calendars export
➡️ The Set By column
This shows who or what created the booking:
- Me: The user booked manually via the map (first come, first served on available desks) or selected an area manually from the drop-down list.
- WeekPattern: Waldo booked automatically based on the user's week pattern.
- CheckIn: The user didn’t check in and was marked as remote by Waldo.
- TeamDayPolicy: It’s a Team Day—so the user got top priority.
- User Email: A Waldo admin or guest made the booking on behalf of the user.
- OutlookSync: Waldo booked based on the user’s Outlook calendar.
➡️ The Set By Guest column
- If Set By Guest is set to True, that indicates someone else made the booking for the user via the Guest Feature. You can check who made the booking in the Set By column.
➡️ The Set By Admin column
- If Set By Admin is set to True, that indicates someone else made the booking for the user via the Reservations tab from the Waldo Admin Portal. You can check who made the booking in the Set By column.
⭐ The User Score for Desk
This score shows the user's chance of getting a great desk. Higher scores = higher priority. Learn more about the score.
🚗 The User Score for Parking
Same as the desk score, but for parking. The higher the score, the better the chance. More about scores here.
📌 The Desk Reservation State
- Reserved: The desk has been booked.
- Pending: It hasn't been booked yet. Refer to this article to understand why.
🅿️ The Parking Reservation State
- Reserved: Parking is booked.
- Pending: Parking isn’t booked yet. Refer to this article to understand why.
📎 The Desk Reservation State Reason
- QueuedDependingBookableOnlyBy: The remaining desks are restricted by the “bookable only by” setting.
- QueuedDependingMustHave: No desk meets the user’s “must-have” equipment needs.
📎 The Parking Reservation State Reason
- QueuedDependingBookableOnlyBy: The remaining parking are restricted by the “bookable only by” setting.
- QueuedDependingMustHave: No parking spot meets the user’s “must-have” equipment needs.
- QueuedDependingDesk: No desk was assigned, so no parking was booked.
🚦The Priorities Scope for Desk
- AutoBooking-PrioritiesFullyApplied: Booking was made by Waldo during the first auto booking batch — priorities were fully applied on all the desks in the area.
- AfterAutoBooking-PrioritiesAppliedOnRemainingDesksOnly: That indicates the user made a change on its Waldo calendar (changing the area) after the first bookings were made. Booking was made after the first batch — priorities were applied only on the remaining desks.
- ManualBooking-NoPriorities: That indicates the user directly picked a desk on the map. Booking was made manually — no priorities were applied.
🚦The Priorities Scope for Parking
The same concept applies than the Priorities Scope for Desk.
📅 The Desk Reservation Compute Date
This is the date Waldo made the booking. If a user booked manually (Set By = Me) and the date is later than other bookings for the same day, then the user picked a desk after Waldo ran the auto-bookings. That means they picked from the leftovers—so priorities didn’t apply.
📅 The Parking Reservation Compute Date
The same concept applies than the Desk Reservation Compute Date.
🏷️ The Custom Location Label
Indicates if the user was remote, on a work trip, time off, etc. Refer to the related article for more context.
🤔 Why didn’t a user get their ideal desk?
💡 Most mysteries can be solved by checking the Priorities Scope and the Set By value.
