Safe-reservation is when a user continuously reserves a desk and cancels it at the last minute — a sneaky way to always lock their favorite spot, even if they’re not a top-priority user.
This practice is disruptive for two reasons:
- The office appears "full" when it's actually not.
- Priority users can’t get the space they need.
This article explains how Waldo gently but firmly prevents this little office hack from ruining the plan.
Waldo's golden rule: "When a user gets assigned to a desk or parking spot, they keep it (unless they change their mind)."
- Every user has a work pattern — maybe it's "Tuesdays at home, Thursdays in the IT area." Waldo detects this automatically.
- Waldo processes reservations every day at 11:00 am, ten days in advance. It uses patterns, priorities, and office tags to make smart, fair decisions.

- Next 10 days: Confirmed — your desk is booked.
- Beyond 10 days: Tentative — your preferences are saved, but not yet booked.
Thanks to this system, users can change their mind — work from home, head to the office — no problem. Waldo recalculates everything daily to keep it fair and simple.
We recommend keeping the number of "days in the future" low. Three days is ideal — it's efficient and fair.
Users can manually tweak their work pattern from their settings.

With the paid version, admins can customize how far in advance reservations are made.
Go to Desks and Parking → Resources, select your building and hit Edit Building.
