🚫 It's easy to authorize someone to book a desk. But how do you stop them from booking a specific one? Let's take a look. |
To let someone book a desk, all you need to do is assign them to the area. Blocking access to a specific desk is trickier—but totally doable. Here are three options:
Imagine the IT area includes three desks: desk-IT1, desk-IT2, and desk-IT3.
You want Emma and John to book any of them.
You want Bob to book IT1 or IT2, but not IT3.
Option 1: Use desk priorities and favorites
- Assign the IT area to Emma, John, and Bob.
- Optionally, set Bob’s priority higher than Emma and John.
- Mark desk-IT1 and desk-IT2 as favorites for Bob.
This won’t block Bob from desk-IT3, but Waldo will guide him toward the others first.
Option 2: Restrict by desk
- Assign the IT area to all three users.
- Set desk-IT3 to be bookable only by Emma and John—not Bob.

This approach works best if only a few users need access to the area.
Option 3: Create a new area
- Create a new area—let’s call it “IT3 area”.
- Move desk-IT3 into that area.
- Assign the IT3 area to Emma and John, but not to Bob.
With this setup, Bob won’t even see desk-IT3. Just note: Emma and John will need to switch to the IT3 area when they want to book that desk.
