Concepts and useful information.
- An office is typically considered a building.
- An office is divided into areas. An area represents a geographical zone within your office and is always linked to it.
- Users can view the occupancy of areas they have been assigned to but cannot access occupancy details of unassigned areas.
- Areas contain desks.
- Users are assigned to one or multiple areas.
- Deleting an office will also remove its associated areas, desks, parking areas, and parking spots.
Best practices.
- Start by creating offices (one per building).
- Next, create areas. Waldo displays occupancy at the area level, not the office level.
- Consider areas as preferred working zones for users.
- If users don’t have a preferred zone, create only one area.
- If users prefer specific zones, organize areas by team, department, or location (e.g., IT department, 1st floor).
- Next, create desks.
- Finally, assign areas to users.
1 - Create a new entity.
- Go to the Waldo management portal.
- Log in with your Microsoft 365 account.
- Navigate to "Desks, rooms and parkings" and select "Add entity".
- Enter a label for the entity and save.
2 - Create a new building.
- Select an entity and click "Add building".
- Enter the building name and city, then save.
3 - Create areas.
- Click on the building you created, then select "Add area".
- Enter an area name and save.
4 - Create desks in the office area.
- Select an area and click "Add desks".
- Set the number of desks and click "Create desks".
5 - Assign areas to users.
- Go to the "Users" page.
- Select a user profile.
- Click "Add allowed area..." and choose the areas where the user can book a desk.
Keep in mind: Users can only see the occupancy of areas they’ve been assigned to.
You're done! Waldo now displays office occupancy.
