Concepts and Useful Information

• Desks and parking spots can be categorized using tags.
• Tags define characteristics, e.g., "double screen" for desks or "EV" for parking spots with charging stations.
• Unlimited tags can be created.
• Users are assigned office areas, office tags, and parking tags.
• Waldo links user tags with available desks and parking spots.

1 - Create Office Tags

1. Go to the Waldo management portal.
2. Authenticate using your Microsoft 365 account.
3. Navigate to Desk, rooms and parkings > Tags and click "Add desk tag...".
4. Enter the label name for the desk tag and click Save.

Tip: To add labels in another language, select the language, click "Add," and enter the label.

2 - Assign Office Tags to Users

1. Go to Users > Users and select the user profile.
2. Assign the relevant office tags.

Example: If Bob has the "Double Screen" tag and desk B2 has the same tag, Waldo may reserve desk B2 for Bob.

Note: The matching criteria must be exact. If a user has three required tags, Waldo will only assign desks with those exact tags.

3 - Define Favorite Desks

Users can define favorite desks within their allowed office areas.

1. Go to Users > Users and select a user profile.
2. Add favorite desks.

Users can also set favorite desks in the Waldo app under settings.

4 - Assign Fixed/Dedicated Desks

A fixed or dedicated desk is exclusively assigned to a user. It cannot be booked by others, even if the user is absent.

5 - Set Priority Levels for Users

Optionally, assign different priority levels to users.

1. Go to Users > Users and select a user profile.
2. Specify priority levels per area.

Note: Higher-priority users are assigned desks before lower-priority users.
