Waldo is a workspace booking tool built into Microsoft Teams. Your team can reserve a desk, a parking spot or a meeting room directly from Teams, without emails, without spreadsheets, without wondering who is coming in that day.
What your team needs most
- Book a desk: in advance or on the same day, from Microsoft Teams on desktop or in your browser
- See who is in the office and where teammates are sitting, before leaving home
- Declare remote work: so the whole team stays coordinated
- Set a week pattern: each person defines their usual office days once; Waldo handles the bookings automatically every week, no action required
What makes Waldo even more useful
- Reserve a parking spot: no more first-come-first-served
- Book a meeting room: availability updates in real time, synced with Outlook
- Team Days: teams define shared office days; Waldo coordinates attendance and keeps colleagues seated close together
- Automatic predictions: When permitted by your admin and enabled by individual users, Waldo can read Outlook calendars to anticipate work locations and attendance patterns
How does Waldo decide who gets a desk?
Waldo uses a fair-play system. Instead of whoever books first always getting the best spot, it factors in rotation, priority levels and past habits. Everyone gets a fair chance, including latecomers.
Is Waldo free?
Yes, Waldo has a free version available forever at no cost — no credit card, no time limit. It gives you visibility over attendance and remote work patterns: who is in the office, who is remote, parking occupancy.
Most organizations discover that managing workspaces properly requires more than visibility. The complete version unlocks what makes hybrid work actually work: desk reservations, parking bookings, meeting room scheduling, unlimited floor maps and a full adoption support programme.
Which plan is right for you? Start with the free version to explore. When you're ready to actively manage spaces and team coordination, the complete version is one click away. You can also submit a request to discuss plans tailored to your setup.
What do you need to use Waldo?
Waldo works inside Microsoft Teams. Your organisation needs an active Microsoft 365 account.
To install Waldo, you will need Microsoft 365 administrator rights to approve the app. If you don't have those rights, no problem — you can ask your IT admin to handle the approval. It takes them just a few minutes. (See: I'm not an IT admin — what should I do?)
Once Waldo is installed, your team members won't need admin rights — they'll just sign in with their regular Microsoft account.
