You want to get Waldo set up for your team but you do not have IT administrator rights on your company's Microsoft 365 account. Or you are not even sure if you do. That is completely fine. You just need to ask the right person to take one action, and then you are good to go.
Why IT approval is needed
Waldo connects to your company's Microsoft 365 environment. For security reasons, most organisations require an IT administrator to approve new applications before anyone can use them. This is not specific to Waldo — any new Teams app goes through the same process.
Without this approval, nobody in your organisation will be able to sign in to Waldo. It is a mandatory step, but it only needs to happen once.
How to find who manages IT in your organisation
You need to reach out to whoever manages Microsoft 365 in your organisation. This is typically someone in your IT department, a system administrator or an IT manager. If you are not sure who that is, here are some ways to find out:
- Ask your manager
- Ask your HR or People team
- Look for an "IT" or "Systems" team in your company directory
What to send your IT administrator
Copy and paste the message below and send it to the person who manages Microsoft 365 in your company:
Subject: App approval request — Waldo for Microsoft Teams
Hi,
I am setting up Waldo, a workspace booking app that runs inside Microsoft Teams. Our Microsoft 365 settings require admin approval before the app can be used by our team.
Could you approve the Waldo application in the Microsoft 365 admin center?
You will find the full procedure and permissions documentation here: Grant Consent to Use Waldo
This is a one-time action that should take just a few minutes. Once done, I can complete the setup on my side.

What happens next
Once your IT administrator has granted approval, come back to the Waldo Welcome page and click Continue with Microsoft. The approval screen will no longer appear and you can complete the setup normally.
